This page explains what Mana does with data from Google Drive and Gmail, how to stop it, and how to get it deleted. It sits alongside the Privacy Policy, which is the binding document; this page is the practical version.
What connecting gives Mana
Mana asks Google for read-only access. It never creates, edits, or deletes anything in your Drive, and never sends, edits, or deletes mail.
Google Drive
After you connect, you choose which folders Mana may use. Selecting a folder includes the folders inside it. Within those folders Mana:
- lists what it finds;
- downloads the files that have content. Google Docs, Sheets and Slides are exported to standard formats first;
- extracts the text where the format allows, and discards files it cannot extract text from rather than indexing them;
- indexes that text so you can search and cite it in your work;
- generates a short summary and a set of key terms for each file it read;
- watches for changes so the index reflects what is currently in the folder.
Items with no downloadable content — folders, shortcuts, Google Forms, Sites and Apps Script — are listed by name and never opened. Folders you have not selected are not read at all. Changing your selection changes what Mana may use from that point on.
Gmail
Gmail works differently. Mana searches your mail and opens individual messages only when you ask it to, as part of answering a request. Your mailbox is not indexed, copied, or monitored in the background, and there is no folder or label selection step.
What Mana stores
For Drive, in the folders you selected: your folder choices, file metadata (titles, paths, types, sizes, modification times, links), the text extracted from the files whose format allowed it, and the summaries and key terms generated from them.
For Gmail: the connection itself, plus whatever appears in a conversation because you asked Mana to use it.
Who else sees it
- Nango, which holds the access token and which Mana's requests to Google are routed through. File contents and messages therefore pass through Nango on their way to Mana; it is a proxy, not only a place the credential is stored.
- Mana's cloud infrastructure, which stores the data described above.
- AI model providers, which receive only the minimum needed to answer something you asked for.
Mana does not use Google data, or anything derived from it, to create, train, or improve generalized or non-personalized AI or machine learning models. This holds regardless of your account-wide AI training preference.
Stopping access
Disconnect in Mana
Go to Settings → Extensions and disconnect the Google connection. This takes effect immediately: Mana stops retrieving anything further, and the data already stored is excluded from search and from anything Mana does for you.
Mana then deletes that stored data within 30 days. If you reconnect during that window, your existing data is reinstated rather than rebuilt.
Revoke from your Google Account
You can also revoke Mana's access directly at myaccount.google.com/permissions. This stops access at Google's end. Disconnecting inside Mana as well is worth doing, because that is what starts the deletion of data already stored.
Deleting your data
Deleting your Mana account revokes the stored credential immediately, so Mana loses access to your Google account at once, and removes the connection. The data described above is deleted along with the rest of your account data within 30 days of the request. You can start this from Settings, and you will see the progress while it runs.
